You can create Bill of Quantities (BOQ),by adding sections and elements in "My Scope" tab inside the "BoQ Module".

A section can be added by clicking on the plus icon at the left. You can either choose from a list of predefined sections or add new ones. For adding custom elements, click 'Action,' select 'Add Custom Element,' fill in the details, and click 'Create.' You can import elements from 'Element Library' or 'Different Projects,' through the 'Actions' button.

The BOQ module is a crucial part of the project life cycle, and in R'Dash, it can be accessed by clicking on the project and then navigating to the BOQ module. There are four tabs within the module(Proposal For Client, Incoming Order, My Active Scope and Rejected Scope),and the default landing page is the Active Scope tab.

By clicking on the + icon button within the My Active Scope tab, you can add pre-defined sections or create custom sections by entering the name in the "Enter Section Name" field.

Clicking on the three dots icon next to a section reveals three options for adding elements to the scope: Add Custom elements, Import from a different project, and Import from the element library.


First method of adding elements to the BOQ is through the "Add Custom Element" option, which involves manually entering the element details.

Second method of adding elements to the BOQ is through the "Import from different Project" option, which basically imports the elements from a different project.

Now Select the Element that you want to import,then Click on the import button.

The third method to add elements to the active scope tab in the BOQ module is by importing from the element library, which is an essential method for adding elements.

Select the Store type of the Brand

To import elements into the BOQ active scope, simply select the desired elements to be imported.

Users can edit an element by clicking on the three dots icon which is located next to the element.

Users can also delete an element by clicking on the three dots icon which is located next to the element.

Users have the option to select elements in the BOQ to create proposals for clients or outgoing orders for vendors. This can be done by selecting the desired elements and clicking on the "Action" button below.

To add or change the element type for multiple elements simultaneously, users can select the desired elements and click on the "Add Item Type" button located below.

To move elements to another section, select the desired elements and click on the "Move To" button located below. Then, choose the section where you want to move the selected elements.

As an instruction for the library, the Bill of Quantities (BOQ) guideline can be added to the active scope by clicking on the "Add New Guideline" button at the bottom of the guideline page. This will provide clear DO's and DON'T's for the library, ensuring a professional and effective approach to managing its resources.

After Clicking on the Add new Guideline, you have to enter the Guideline Name and Description, and then click on the add button.

After adding all the elements and guidelines to the BOQ, you can download it in Excel format and Google Sheets by clicking on the "Action" button and selecting the "Export in Excel" or "Open in Sheets" option. This will enable easy access to the BOQ and its guidelines in a professional and user-friendly manner.

Creating and adding Sections and Elements to BOQ

You can now apply discounts to items in your Bill of Quantities (BoQ). With this feature, you can apply discounts to individual items or to multiple items through bulk selection. 

The discounted values will be displayed alongside the items, making it easier for you to manage and track discounts.

You can add service charge to project elements through the Bill of Quantities (BOQ) or the Element Library(EL). This Service charge can be with or without the base amount. You can apply charges to individual or multiple items to enhance project cost management and efficiency.

Adding Service Charge in Elements

You can create a client by navigating to 'Manage Clients' and clicking 'Create Client'. Enter the client's email address and verify. Next, input the client's name and address, with the option to add multiple addresses. You can upload KYC documents of the client and add and invite client users in the subsequent steps.

The client organization will be added and will appear in the list under 'Manage Clients'.

You can invite a client by going to 'Manage Clients' in the left panel. Select the client organization you wish to invite, go to 'Client users' section inside this orgnaization and add and invite new users. 

To manage the client details, you can upload documents in the 'Other Details' tab. You can also create invoices in the 'Client Invoices' section and payment requests in the 'Payments from Client' tab. 

In the list of clients in the 'Manage Clients' tab you can mark a client as active or inactive.

How to Invite Clients and Manage their Details

You can send a proposal to a client by navigating to the BOQ tab inside your project. Under "My Scope," click on "Actions" and select "Create/Edit Proposal." Choose the elements to include in your proposal and click "Move to Proposal." You can select either an existing proposal or create a new one for the shortlisted elements. You can send the proposal with or without an email to the client. 
The sent proposals can be accessed under the "Proposals for Client" tab.

User can now generate the proposal by clicking on the action button in the BOQ. You will find an option to Create/Edit the proposal. Simply click on that button.

Now, the user needs to select the elements for which they intend to send the proposal to the client and obtain approval. Once the elements are selected, the user should click on the "Move to Proposal" button below and choose the option "New Proposal for Order".


Now, proceed to click on the "Send Proposal" button below. This action will highlight the elements for which the proposal needs to be sent.

Upon clicking the "Send Proposal" button, a new window will pop up, allowing you to select the recipient for this proposal. An email will then be sent to that individual, containing both the proposal amount and the proposal elements in an Excel format.


This is the email view that the client will receive after the proposal has been sent. The client can take actions directly within the email by clicking on buttons for approval, review, and rejection.

To modify the quantity and rate for elements with a confirmed status, you should click on "Create/Edit Proposals." Subsequently, send an editable proposal to the client.


As user can see, we have revised the quantity and rate for elements that have already been confirmed. To proceed, click on the "Send Proposal" button below. This step will necessitate client approval once more for the edited proposal.

Once you have sent the revised proposal to the client and it has been approved by the client, the changes that you made will be reflected in your BOQ.

Proposals for Clients & Incoming Orders

How to send Proposals to Clients

You can approve vendor proposals by navigating to the 'Order' tab inside your project. Select the proposal to approve or reject. You can also 'Edit' the vendor proposal before approving to make changes like canceling elements, adjusting quantities, changing rates, or breaking down quantities. You can select payment terms before approving the proposal which will release an order to the vendor. 
The sent orders can be checked in the 'Vendor Orders' tab. 

How to approve/reject proposals from vendors? 

Approving Vendor Proposals

You can create a vendor by navigating to 'Manage Vendor' and clicking 'Add New Vendor'. Enter the vendor's PAN Card number and verify it. Next, provide the company name, address, and other relevant details. Add KYC documents and bank details if available. You can add and invite the vendor users and add vendor tags. 

The vendor organization will be added and will appear in the list under 'Manage Vendor'. Activate these vendors from this list to start sending orders to them for your projects.

Creating a vendor and adding their details

You can invite a vendor by going to 'Manage Vendor' in the left panel. Select the vendor organization you wish to invite, go to 'Vendor users' section inside this orgnaization and add and invite new users. 

To manage the vendor details, you can add/edit vendor tags, add bank details, and upload documents in the 'Other Details' tab. You can also create invoices in the 'Vendor Invoices' section and payment requests in the 'Vendor Payments' tab. 

In the list of vendors in the 'Manage vendor' tab you can mark a vendor as active, inactive and can even blacklist them.

How to Invite Vendors and Manage their Details

You can create a vendor order by navigating to the orders tab, and select "create vendor order." Fill in the details, add items, attach a purchase order, and add remarks. Choose payment terms and click "create and send" to send immediately along with a mail, or create a draft order to send it later.

How to send Orders to Vendors

To access the order module of a project, click on the "Order" tab. The module has four tabs: "Proposal from Vendors," "Outgoing Order," "Vendor-wise Scope," and "Vendor-wise Progress Report." The "Outgoing Order" tab is the default landing page.




The "Proposal from Vendor" tab displays proposals received from vendors. You can approve or reject these proposals if their status is pending.



When viewing a proposal with a "pending" status, you can only approve or reject it. Editing or modifying the proposal is not allowed at this stage.




After clicking the approval button, the proposal elements will appear in the outgoing order. You must then fill in all the mandatory fields before proceeding.

Clicking on the approval button for a proposal will move it to the outgoing order, where you can place an order with the vendor and add the purchase order there.

Users can also create the Outgoing Order directly without the way of Proposal. To create an outgoing Order click on the Outgoing Order button. 




Here are 5 concise methods to add elements in the Outgoing Order:

First Method 1 : Import from My Active Scope>Select the elements that you want to import 


In addition to the previously mentioned methods, users can also import elements from their organization's library store. By selecting the desired elements from the library, they can easily import them into the outgoing order.

After signing a rate contract with a vendor, you can select them when placing an order and choose the rate contract agreement in the "Select Rate Contract" field. This will enable the option to add elements from the "Import from RC" method and select the specific items you want to order from that vendor.

The fourth method for adding elements is "Upload via Excel." To use this method, you'll need to download the sample Excel format and enter the element details into the file. Once you've saved the file, you can upload it to the system to add the elements to the outgoing order.



The final method is adding elements through a custom way. Simply click on "Add Custom Element" and manually enter all the details of the element to add it to the outgoing order.



To add a purchase order, simply click on the "Add Purchase" button and upload the PO file while filling out all required fields.





To submit your order, click "Create and send." To save it as a draft, click "Create."


Clicking "Create & send" opens a new window with the vendor's email address auto-filled. Type your message and also you can attach the file by clicking on th e "+add more attachment" button. Once verified all the fields, click the "Send" button. An email will be sent to the Vendor email along with the attached excel file of the order.

To cancel or edit an order that has been sent to the vendor, click on the three dots icon and select "Edit Order" or "Cancel Order".



There are two ways to edit an order. The first method is to click on the three dots and select "Edit Order". The second method is to click on the order and then click on the "Review" button. From there, you can make changes to elements such as quantity and rates, and add new elements to the order. Please note that you cannot change the name or description of an element.


Once you have reviewed and made modifications to the order elements, click on the "Update Changes" button. This will notify the vendor via email about the modifications made to the order, along with the updated Excel file.

To revise, download, or cancel a PO attached to an order, click on the three dots icon next to the PO. These options will become visible once the icon is clicked.



After adding the PO to the order, the Invoice tab will become active. You can add the invoice to the order by selecting the PO.


"To upload the invoice, click "Add Invoice" and fill in the required fields. You can also upload supporting documents such as work completion certificates, delivery proof, and warranty certificates. Once done, certify that the uploaded invoice is complete and correct."


After finishing the tasks for an order, you can mark it as completed by selecting the "Actions" button. From there, you can choose the "Mark all invoice uploaded" option to indicate that all necessary invoices have been submitted.

When you click the "Mark Order Complete" button, a survey feedback window will appear. In this window, you can rate the vendor for on-time delivery, the quality of their work, etc. You will also have the option to drop a review for the completed order.

Outgoing Orders

To apply GST to vendor orders, navigate to your project's 'Orders' tab. GST can be enabled for accurate invoicing while either creating a new order or reviewing an existing one. GST can be applied to individual items or in bulk to ensure compliance and efficiency in procurement processes.

The third tab in the Order module is called "Vendor-wise Scope." In this tab, you can view all the elements of the order and apply filters by selecting a specific vendor from the dropdown menu. You can also track the progress of updated elements that the vendor has made from their RDash instance.

On this page, there is a card that displays the total number of orders and items, the total scope amount, as well as the overall progress and progress made today.



The fourth module of the order is called "Vendor-wise Progress." Here, you can track the progress updates made by the vendor, including the images they have uploaded for each element. You can also apply filters by selecting a specific vendor from the dropdown menu to view their progress report.

When you click the "Action" button, two options will appear: "Export Today's Progress" and "Export Progress Complete Report." You can choose to download the vendor DPR in PDF format based on your preference and the selected option.



Vendor Wise Scope & Progress Update

This feature enables you to manage vendor payments within projects, including creating and managing payment requests.

Go to the specific project, access vendor payments under orders, and create payment requests against POs or invoices. You can manage payment entries against these requests. Requests can be edited or cancelled as needed for streamlined payment processing.

Managing Vendor Payments 

You can create an "Other Expense" request, by going to the "Orders" module and clicking on "Other Expense." Add your expense details and upload supporting proof. The request will be sent for approval according to your organization's configured approval hierarchy.

How to create other expense request 

You can approve or reject an "other expense" request by navigating to your project and selecting the "other expense" tab in the order module. Here, you can review all created, pending, or approved requests, and choose to approve, reject, or hold them.

Alternatively, you can manage approvals through the 'My Tasks' section by selecting 'My Approvals.' This area is divided into Immediate Approvals, Upcoming Approvals, and All Approvals, allowing you to handle requests as they come to you.

Approving or Rejecting Other Expense Requests 

You can upload a Purchase Order and Invoice to your outgoing orders by navigating to the 'Orders' tab in your project. 

A Purchase Order(PO) can be added to an already sent order or while creating a new vendor order. Inside the order, click on 'Add Purchase Order' to upload the PO file and enter details. You can upload multiple POs against each order. 

For vendor invoices, go to the 'Vendor Invoices' tab and add a new invoice with the required details and documents. The invoice will then be sent for approval based on the approval hierarchy being setup in your organization.

Uploading Purchase Orders and Invoices in Outgoing Orders

You can create a Bill of Quantities (BOQ) using an Excel upload by navigating to the 'My Scope' tab. Go to the 'Actions' button and select 'Upload via Excel'. Download the sample file, populate it with your BOQ elements, and upload. After uploading, you can modify quantities, edit rates, and relocate elements to other sections as needed.

In the BOQ Grid View, you can upload the Excel file similarly. Map the Excel columns to the grid view columns, and the elements will be successfully added.
